Job Description

We are a Registered Investment Adviser (RIA) in downtown Clayton, MO. and we are looking for an experienced Front Office Associate. We are honored to serve the financial planning and investment needs of our clients, and retirement plans of dozens of employers across the Midwest. The role is collectively responsible for client outreach, managing branding efforts and ensuring effective communication with clients and prospects.

Job Description:

The need: a Front Office Associate who seeks to improve the lives of our clients through engaging, warm, and helpful interactions. We need someone who our clients can’t wait to see each time they come to the office.

We are: a financial advising practice that assists clients across the United States with their financial needs. Whether their concerns are around investing, retirement planning, estate planning, or more, we work to give our clients peace of mind when it comes to their financial decisions.

Responsibilities May Include:

• Perform operational tasks including answering and transferring phone calls, responding to emails,

scheduling/confirming meetings, and receiving visitors

• Assist advisors with client meetings including preparing the conference room, offering the clients light

refreshments/beverages, updating their profile picture on the database, etc.

• Assist with coordinating client events, including webinars or virtual meetings to strengthen client relationships.

• Client outreach for scheduling virtual or in-person appointments 

• Assist with organizing promotional items, including firm branding and advertising materials.

• Prepares, files and maintains electronic records and documents in required formats, including encrypted

documents

• Maintaining office tasks such as copying, mailing, depositing checks, managing office supplies inventory etc.

• Transcribing or taking notes during meetings and writing minutes, memos and / or agendas

• Sorting and distributing incoming mail and collecting and sending outgoing mail

• Create and update various excel reports, database projects, and other special projects as assigned by an advisor

• Assist and eventually lead with digital marketing efforts including website maintenance, podcast production, email

management and social media management

• Coordinate with third-party vendors for digital marketing initiatives

Preferred Skills and/or Experience:

• Advanced knowledge of Microsoft Office, particulrly Excel

• Experience with marketing (email/newsletter communication, Canva, social media)

• Experience with bookkeeping software (Quickbooks & Melio)

• Two years plus prior experience in a front office, client-facing role

• Experience with client relationship database Redtail is a huge plus

Excellent Benefits Include:

• Competitive salary paid semi-monthly – annual base salary range $45,000-60,000 dependent on previous

experience and tenure

✓ Individual Incentive – 10% annual bonus, paid semiannually

✓ Team-Based Incentive- based on firm-level revenue growth

• Basic benefits package will be package will be provided after completing thirty days or as reflected below, includes:

✓ Medical, dental and vision coverage is provided. The firm pays fifty percent of your employee coverage

premium. Dependent coverage is available, cost will be provided to you.

✓ Basic Life AD&D and disability (short-term and long-term) coverage is fully paid for by the firm.

✓ Voluntary term life and AD&D insurance, 100% employee paid

✓ Eligibility for the company’s retirement plan begins once you have completed six months’ service

▪ Firm will make a safe harbor matching contribution equal to 100% of your salary deferrals that do not

exceed 6% of your compensation.

▪ Employer Profit Sharing Contributions, the discretionary contribution has been 3% of your compensation
